Invite team members and set roles

Bring colleagues into your dashboard and give them only the access they need.

As your business grows, you will want help. Inviting team members lets you give other people access without sharing your login, and you can control what each person can do.

Send an invite

    Open Team

    Click your name or avatar at the bottom of the sidebar, then Team. Click Invite team member to open the invite page.

    Enter their name and email

    Type the team member's name and the email address you want the invite sent to. Both are required.

    Pick a role

    Choose one of Manager, Staff, or Check-in Only. Each card shows exactly what that role can and cannot do, so you can match the access to the job.

    Add a custom message (optional)

    You can include a short personal note that goes out with the invite email — handy for a heads-up to a new colleague.

    Send the invite

    Once you submit, the invite goes out by email. After the recipient accepts, they appear in your Team list — you can change their role or remove them at any time.

The roles we offer

  • Owner — that's you. Full access including plan, billing, and store settings (not selectable from the invite page)
  • Manager — manages orders and refunds, products and inventory, customers, analytics, and team members; cannot access billing or store settings
  • Staff — views orders and customer information and can update order status; cannot process refunds, edit products, or change settings
  • Check-in Only — limited to scanning and checking in event tickets via the dedicated check-in interface; no access to orders, products, customers, settings, or billing

Give the least access needed

Picking the right role keeps your page safe. A bookkeeper does not need to edit products; a sales assistant does not need access to billing.

Team settings and approval workflows

Team Settings are available to Owners and Managers. They let you configure team-wide rules:

  • Require order approval — large orders above a threshold you set must be approved by a Manager before they are processed
  • Require refund approval — refunds above a threshold you set must be approved by a Manager before they go through
  • Working hours — set the start and end time for your team's working day (used for scheduling and reports)
  • Timezone — the timezone applied to order timestamps and reports for your team

Approval workflows add a checkpoint

If you enable order or refund approval, any order or refund that hits the threshold will show as Pending approval until a Manager approves or rejects it. This is useful for businesses where large transactions need a second pair of eyes.

Frequently asked questions

How many team members can I add?

Most plans include unlimited team members. Check your plan for any specific limits.

Can someone be on two stores at once?

Yes. They use the same login email to switch between stores they have been invited to.

How do I remove someone?

From Team, click the person and Remove. Their access ends immediately. Anything they created (orders, notes, products) stays in your page.
